Technical Visits make the incentive trip experience more assertive

Every trip is full of positive expectations. When it comes to the guides developed by TMI MICE, these expectations are often backed by previous experience from both the staff and the group coordinators or representatives of the companies that procure us. We call it Technical Visits or TVs.

TVs allow companies to evaluate the structure, equipment and activities, analyzing in advance everything that will be experienced by the group, all the quality of services that will be used during the trip or the event. From hotels to tours, from gastronomy to mobility, from landscape to details such as the comfort of the beds, the set table or the best photo angles, the TMI MICE’s staff monitors all, so TMI MICE and the customer, together and in advance, try the best that can be offered and selected at each destination according to the profile of each group.

This check provides affinities between our partner team and the customer. This is when we find out if the program offered matches the profile of the guests and meets their wishes. Initially a guide is prepared with as many places as possible to be visited: Restaurants, hotels, tours, food, menu, service. Our staff and the customers stay overnight in the hotels to feel how they work, get to know maintenance, shower, bed, and the like. Everything we offer to the customers – and a little more – is added to the Technical Visit, as they want to make sure that these options are best presented on site.

To enable TVs, TMI MICE’s team makes prior contact with the places to be visited, but also establishes a period needed to find other possibilities if the customers do not want any alternative presented. Thus, the team has the possibility, even during the technical visit, to close other deals that please customers. Therefore, TVs are held at least six months in advance and are important for our coordinators to have a more specific view of the customer and traveling group, making the tour assertive.

These visits are indicated especially when the group of travelers is large and diverse and, in such cases, the TV is set as a procuring item.

Prior research to choose options takes into account the age of most participants, behavioral and cultural differences, in addition to details that are typical of Brazilians: They usually carry more luggage, they shopping more, specifically like some cooking items, like rice, specific type of breakfast – with bread with butter and hot milk with coffee, which are essential – favor the view of the accommodations, amount of beds per room, if it has iron, how are the sockets, if it has umbrella, bathrobe, coffee maker in the apartments, etc. There are many details that need full attention of the TMI MICE’s team and also the collaboration of the customer, who knows the profile of its group.

At the end of the TV, the entire selected guide is designed and presented as a report to the customer. This report presents the best for the group’s identity, valuing the cost-benefit of the trip.

It has been proven that Technical Visits make the experience of group trip more efficient, considerably reducing any challenges that may arise, in case it has not been carried out.
